This policy is a starting template tailored to how the app works. Please have your HOA and legal counsel review it before you publish it as your official policy.
Friends & Neighbors (“the app,” “we,” “us”) is a private community app for residential associations (HOAs). This policy explains what information we collect, how we use it, who can see it, and the choices you have. It applies to the Friends & Neighbors mobile app and its board console. Your community’s HOA board and its management company also access certain data to operate the community — see “Who can see your information.”
1. Information we collect
Account & identity. Your email address and name. Sign-in is passwordless — a one-time email link, or Sign in with Apple or Google (in which case we receive the identifier those services provide).
Community & home details. Your community, resident role (homeowner or renter), and your unit or home address. To show your household on the board’s member map, we store the approximate geographic coordinates of that address.
Content you create. Discussion posts, replies and likes, suggestions to the board, event RSVPs, club memberships and applications, architectural-review requests (including photos you attach), maintenance and service requests, and responses to notices.
Billing. HOA charges and payments on your account. When card payments are enabled they are handled by our payment processor (Stripe); we do not store full card numbers.
Amenity access. Your resident access card (a rotating QR code) and amenity check-in/out records used for live occupancy.
Device & technical. A push-notification token to deliver notifications, and basic diagnostics/crash data provided by Apple TestFlight during the beta.
Photos. Only the specific photo you choose to attach to an architectural request. We do not otherwise access your photo library.
Face ID / biometrics. If you enable app lock, Face ID is handled entirely by your device; we never receive or store biometric data.
2. How we use your information
Operate community features (amenities, events, clubs, discussions, documents, notices).
Verify residency and manage your membership.
Process HOA dues and payments and maintain your ledger.
Send the notifications you’ve enabled.
Provide amenity access and live occupancy.
Respond to your requests and provide support.
Maintain security and prevent abuse.
We do not sell your personal information, and we do not use it for third-party advertising.
3. Who can see your information
Your HOA board and its management company (for Hidden Trails, CCMC) can see the community data needed to run the association — for example your name, home, membership, dues and ledger, requests, and notices.
Other residents see only the limited profile information you choose to share in community features (such as your name on a discussion post or club roster).
The member map shows household locations to board members only.
Access is scoped per community: residents of one community cannot see another community’s data.
4. Service providers we use
We rely on trusted providers that process data on our behalf, only to provide their services:
Supabase — application backend, database, authentication, and file storage.
Apple — Sign in with Apple, push notifications (APNs), and TestFlight beta distribution.
Google — Sign in with Google, if you choose it.
Geoapify and OpenStreetMap — address lookup and mapping.
Open-Meteo — community weather.
Stripe — payment processing, when card payments are enabled.
Resend — delivery of sign-in and notification emails.
5. Data retention
We keep your information while you are a member of a community and as needed to operate the association (for example, billing history), or as required by law or the HOA’s governing documents. You can ask us to delete your account — see “Your choices and rights.”
6. Security
Data is encrypted in transit. Access is restricted by per-community, per-user database policies (row-level security), so you and your community only see what you’re permitted to. No system is perfectly secure, but we take reasonable measures to protect your information.
7. Your choices and rights
Access or correct your profile in the app (Account & household).
Turn notifications on or off in the app or in iOS Settings.
Request a copy of your data, or deletion of your account, by contacting us below. We’ll respond within a reasonable time and as required by applicable law.
8. Children
The app is intended for adult residents and is not directed to children under 13. We do not knowingly collect personal information from children under 13.
9. Beta testing
During the TestFlight beta, Apple collects certain diagnostics and provides them to us to improve the app, subject to Apple’s terms. A demo community is available for evaluation; information entered in the demo community is illustrative only.
10. Changes to this policy
We may update this policy from time to time. We’ll post the updated version here and revise the effective date, and we’ll communicate material changes in the app.
